North or South Terminal: settle the meeting plan
Check the terminal on your airline's current information and enter North or South in your journey details. A group arriving on several flights may need a different plan from everyone travelling on the same service. Tell us each flight and terminal so collection is arranged around the actual arrivals rather than an assumed common meeting point.
With Meet & Greet (£20), your driver waits inside arrivals with a name board. Without it, you're collected from the pickup point agreed when you book, and we confirm your meeting instructions before you travel.
For a two-vehicle group, confirm the collection arrangements for both vehicles and how passengers reach them. Read the Gatwick airport taxi guide for terminal information. Gatwick publishes its own pick-up rules, drop-off rules and charges and Assisted Travel guidance; these govern airport access rather than a general meeting landmark.
Flight information and group contacts
Send the flight number, travel date and arrival terminal, together with a working phone number for a group contact. If different households have booked separately, collect the information into one itinerary. For departure journeys, the collection time needs to allow for airline check-in and road conditions, not just the scheduled flight departure.
Our Booking Terms describe airport waiting and delayed-flight arrangements. Airport pickups include one hour from actual landing before waiting charges apply. Flight monitoring helps us plan around an arrival change, but availability is not guaranteed for a delay exceeding six hours; we help arrange an alternative. The allowance is not measured from when the last group member leaves baggage reclaim.
Count luggage, not only passengers
Enter the number of large cases and mention pushchairs, sports bags or other bulky items. There is room for luggage in the coordinated two-MPV arrangement, but the case count still needs confirming against the passengers travelling. A party of 16 with substantial equipment should not assume it has the same storage needs as nine travelling light.
Wheelchair users should give the equipment details and whether they remain seated in the wheelchair. We can arrange wheelchair accessible vehicles, with the passenger and companion allocation considered together. Airport assistance is arranged separately through the airline or travel agent; a transport enquiry does not request terminal or aircraft assistance.
One group in two vehicles
For 9–16 passengers, the instant price covers two MPVs travelling together under one booking. Allocate passengers before collection, keeping children with their accompanying adult and anyone needing support with their companion. Both vehicles follow coordinated timings, while traffic can mean they reach the destination a little apart.
Agree which group member handles communications and ensure that the other vehicle's passengers have the travel instructions too. If everyone must attend a check-in or event together, build that requirement into the itinerary. A single minibus can be arranged through a PSV-licensed partner when sharing one vehicle is your preference.
Hotel arrivals and departures near Gatwick
A hotel transfer needs the full property address and the entrance used for pickup. Tell us if the group is split between hotels or if luggage must be collected before leaving. We do not assume a hotel supplies an airport shuttle or that its shuttle schedule matches your flight; check directly with the property before comparing arrangements.
For early departures, agree where guests assemble and which contact confirms everyone is ready. After arrival, ensure the hotel destination is the one on the booking rather than another property with a similar name. Our wider airport transfers service also covers connections with other London airports.
Larger airport groups
Groups of 17–32 receive a callback to review suitable transport. Coaches and larger parties are quoted individually through licensed partners, with operating details in writing. National Transfer LTD is based in Crawley and holds private hire operator licence OP297; PSV coach and minibus operation is provided by the named partner rather than under our private hire licence.
Minibus and coach journeys are arranged through licensed partners. For vehicles with 9 or more passenger seats, the journey is operated by a partner holding a PSV operator's licence, and we confirm the operator's name and licence number in writing on your quote.
