From enquiry to a managed booking
Start by giving us the itinerary, not just a request for a coach. Include passenger numbers, collection addresses, destinations and any deadline for arrival. If the trip has intermediate stops, waiting at a venue or a separate return day, these all belong in the initial enquiry so the operator can assess the complete work.
We source and check a PSV-licensed coach operator for the journey. The written quote names the operator and licence number, describes the travel arrangement and sets out the booking terms. You then book with National Transfer, while the named partner operates the coach journey. You are not booking a coach owned by us.
There is no obligation to accept the quote. Review the itinerary, capacity, pickup instructions and payment conditions before agreeing. If the event schedule changes afterwards, contact us so the effect on the operator's arrangements can be checked rather than assuming the original quote covers a different day or route.
What we check
We check the operator's licence on the GOV.UK vehicle operator register, together with insurance and PCV-licensed drivers. For school work, DBS checks are part of the checks. These are specific coach-operation checks; National Transfer's private hire licence does not replace the operating partner's PSV licence.
National Transfer LTD is based in Crawley, West Sussex, and holds Private Hire Operator's Licence OP297 from Crawley Borough Council. We have £10m public liability insurance. We do not hold a PSV operator's licence and are not a CPT member. No membership or accreditation is implied by arranging a managed coach booking.
The quote provides the operating identity in writing rather than asking you to rely on a general description of a partner network. Ask about any requirement your organisation has before confirming: safeguarding arrangements, venue access and passenger assistance should be discussed for the actual trip, not inferred from a generic coach description.
Trips that suit a coach enquiry
Corporate events can involve delegates arriving together, equipment and a fixed venue schedule. Send the event organiser's contact and the time guests must be at the entrance. For sports or club trips, include kit as well as personal bags and make clear whether the vehicle waits or returns later.
School outings need an itinerary that covers supervising adults, collection arrangements and safeguarding requirements. Day trips may include a venue with restricted vehicle access or a booked admission slot. Wedding parties can need separate hotel collections and an evening return, so provide the full pattern rather than only the ceremony address.
Airport and cruise groups should include the flight or ship, terminal, case count and the onward timing. A large passenger capacity is not a substitute for confirming storage and access needs. Where guests have mobility requirements, ask about suitable arrangements before choosing a coach; do not assume every coach offers wheelchair access.
What we need from you
Tell us the date, pickup time, all collection points and destination, plus the expected passenger total. Add the number of large cases and any other equipment. Explain whether there is a return, how long the group stays at the destination and who is authorised to confirm changes on behalf of everyone travelling.
Your vehicle preference is useful, but capacity and suitability are confirmed through the quote. If the group is small enough for MPVs, a different arrangement may be worth considering. The group and minibus guide explains instant pricing for up to 16 and callback arrangements for 17–32.
Before accepting your quote
Check the operator's name and licence number, the addresses and timings, and any conditions for changes or cancellation. Deposit terms are set out in your written quote. We do not publish a universal deposit or a coach price that cannot reflect the particular itinerary. Keep the final confirmation available for your organiser on the day.
Minibus and coach journeys are arranged through licensed partners. For vehicles with 9 or more passenger seats, the journey is operated by a partner holding a PSV operator's licence, and we confirm the operator's name and licence number in writing on your quote.
